Job Description

Operations Assistant

40 hours per week  –   Full-Time Permanent

8:00AM to 4:30PM  (Normal Working Hours)

AIRON is an Elite HVAC Service / Controls Integrator with 27 years of Heating, Ventilation, and Air Conditioning (HVAC) / Building Automation System (BAS) experience. We also have an in-house Software Development Team (www.anttechnologies.ca).  We are currently seeking an Operations Assistant to work with our Operations staff and serve our ever-expanding Ontario client base. The successful candidate must be able to apply their administrative, accounting and coordination skills.  Check us out at www.airongroup.ca.

A diploma/working towards a diploma in Business Administration or a similar field is required.

Responsibilities

  • Answering phones and assisting with dispatch
  • Creating Purchase Orders and Work Orders as needed
  • Technician Scheduling/Coordinating with Clients – including a 2 month projection
  • Accounts Receivable contract billing & management of contracts
  • Accounts Receivable Service Billing
  • Set up of new Contracts in Accounting Software
  • Create/print WIP/Outstanding Work Order lists monthly
  • Data Entry of Accounts Payables invoices – matching packing slip to bill/verify/correct to Purchase orders and post in Accounting Software
  • Checking Technician GPS vs Timesheets prior to Payroll
  • Filing of Accounts Payable information in appropriate files for both companies
  • Compare monthly Accounts Payable monthly statements to Accounting Software and make appropriate reconciliations
  • Fleet monitoring: keeping trucks up to date, scheduling truck repairs, filing truck paper work, organizing gas cards, ordering new transponders, etc.
  • Mail and courier – incoming and outgoing
  • Ordering of Office Supplies
  • Communicate effectively with managers for other tasks that may be asked of you

 

Skills

  • An understanding of Accounts Payable and Accounts Receivable (previous experience with Jonas software an asset)
