DUTIES

& RESPONSIBILITIES

  • Coordinates the process of receipt and accurate scheduling of examination session requests for TRU-OL students and contract clients.
  • Locates possible exam centres within and outside and outside British Columbia and secures these locations for use as examination centres.
  • Coordinates exam centre activities by booking centres, assigning invigilators to each exam session, instructing invigilators on tasks, and ensuring TRU-OL standards are maintained.
  • Prepares and ships student and contract client examinations to, and from, examination centres, and ensures on time delivery utilizing appropriate security measures.
  • Ships and receives written examinations for marking with TRU-OL Faculty Members.
  • Monitors and maintains inventory of exams.
  • Communicates with students via various mediums to deal with exam issues and general inquiries.

    QUALIFICATIONS

    EDUCATION

  • Grade 12 and the completion of a certificate of 6 months in the area of Office Administration/Administration Management or a related certificate
  • EXPERIENCE

  • Two (2) years of experience related to scheduling and booking of events including experience in dealing with customers with tact and courtesy, on the telephone, via e-mail and in person including experience in scheduling systems and operations, or examination inventory management
  • SKILLS, KNOWLEDGE OR ABILITIES RELATED TO THE JOB

  • Excellent communication, organizational skills, and interpersonal skills 
  • Ability to exercise independent judgment
  • Basic research and negotiation skills 
  • Accurate keyboarding skills 
  • Attention to detail and ability to set priorities and meet deadlines
  • Working knowledge of relational databases, Microsoft Office (primarily Excel and Word), Outlook or similar e-mail communication system
  • WORKING CONDITIONS

  • Sitting at a desk and computer for long periods of time; contact with staff and customers; general office conditions; ability to lift weights exceeding 10kg
