Reporting to the Executive Assistant & Events Manager, this role will be responsible for providing administrative support to the Executive Assistant & Events Planner in order to meet the needs of G4S Canada’s CEO, Executive team. The incumbent must be able to meet deadlines, exercise discretion in handling confidential information, able to prioritize and think ahead, and able to adapt to changing demands.
Provides administrative support to the Executive Assistant & Events Planner – type reports, memos, letters and other documents as well as minute taking in for appropriate distribution Anticipates needs and makes necessary
Timely process payments of credit card statements and other vendors as assigned
Manage the corporate credit card and reconcile expenses
Reconciliations of expense reports for the Executive Team on a monthly basis
Coordinate travel and accommodation for CEO and rest of senior management team as required
Prepare and maintain birthday calendar, including the preparation of individual cards for CEO signature
Act as backup of the Executive Assistant and Events Manager as assigned
Participate in special projects as needed
Act as Salesforce Support as assigned
Other duties as assigned
Attend Executive meetings outside of head office and other off-site events and conferences
