The Client:

The client is a Big 5 bank’s top advisory group with over 25 years of success working with a select group of high/ultra high net worth clients. Position Overview:

The Senior Executive Assistant is the glue that holds the team together. They will be the first point of contact to visitors and clients while also serving as the right (administrative) hand to the group’s head and president, a top investment advisor, nationally recognized by the bank. The ideal candidate for this position is a highly professionally presented individual with a warm personality that embraces every opportunity to make our clients feel special. The group would like to think that it functions as an extended family of sorts to their clients, and they wish to convey the same feeling to clients. This role is instrumental in setting up the tone to doing that.


Responsibilities will include:

· Receptionist duties including operating the office main line and greeting all visitors

· Appointment scheduling for group’s President and other team members

· Travel arrangements (domestic and international) including flight, hotel, transportation booking and creating itineraries when necessary

· Client event management for all client events including workshops, lunch and learn, client appreciation events, charity events, business and personal social functions

· Handling communication with the group’s clients via phone, email, video conferencing

Balancing, preparation of financial statements

· Oversight of the group’s CRM system

· The gatekeeper for the President

· Handling correspondence directed to/from President

· Assisting with reporting and presentations

· Taking minutes in meetings and transcribing later into reports/document

· Personal assistance and provide administrative support for special projects to the founder and principal of the group and his family


What you bring to the table:


· 10 + years of administrative experience including executive support

· Superb MS Office suite skills including Word, Excel, Outlook, PowerPoint

· Outstanding client relationship skills

· Appreciation for the group’s unique tight-knit culture and the importance of the role as the “face and voice of the company”

· Always looking to create a positive and memorable experience with every person, every interaction

· Banking industry/wealth management experience with focus on high net worth clients preferred but not required

· Thrives in a fast-paced environment and strives to provide the highest standard of client service

· Being socially / charitably motivated is an asset
