Job Description

Today and Tomorrow Financial Services, one of Manulife’s largest Independent Financial Firms in Canada is looking to expand our team further and one of our key positions is that of full-time Receptionist.

Today and Tomorrow Financial Services provides our clients with full Financial, Tax, Retirement and Estate Services and is constantly being rated one of the best in Financial Services industry through Reader’s Choice awards in Burlington, Oakville, Flamborough and Hamilton.

The person we are looking for must be able to multi-task, learn, have social skills and experience in a professional office. Financial Services experience will be an asset. Advancement opportunities available.

Key Responsibilities include:

  • Telephone: answer incoming calls in a friendly and professional manner; direct calls to other staff; making appointments where appropriate; enter messages/notes in Goldmine; check voicemail and update it when needed;
  • Courier: make arrangements for couriers;
  • Confidential workloads received from Management of and for Today and Tomorrow;
  • Mail: receive mail, courier materials and send out mail on a daily basis. Stamp incoming mail as to receipt time and date as required;
  • Office Supplies: order required office supplies when needed;
  • Marketing: work with Management on project;
  • Client name, address and telephone information: Statements and other listings must be maintained and kept up to date;
  • Shredding: shredding to be done at the end of the day;
  • Filing: ensuring filing and updating Goldmine of assigned alpha split A to Z;
  • Maintain filing cabinets and inactive files and plans. At times this will include removing old files and papers; placing same in storage or arranging for shredding services;
  • Greeting Clients, prospective clients, suppliers;
  • Entering notes and listings on Goldmine;
  • Preparing appropriate client files for Advisors in advance;
  • Ensuring Fund Fact files are current;
  • Assisting with CEO and Advisors when asked too;
  • At times, the need for overtime is required and whenever possible, advance time for scheduling will be provided;
  • Other Duties assigned from time to time by Management;
  • Working with Yesterday Today and Tomorrow Tax Services Inc. when needed.

The successful candidate for this opportunity must:

  • Have a College Diploma/ University Degree and/or Securities or Insurance Qualifications
  • Have Experience in dealing with the public
  • Have Computer Experience: Word, Excel, PowerPoint
  • Have a professional presence and appearance
  • Maintain G driver’s license in good standing
  • Financial experience an asset

Skills and Ability:

  • 1-2 years of administrative experience, preferred
  • Proficient computer skills (MS Word, Excel, PowerPoint)
  • Excellent customer service skills with the ability to communicate information effectively
  • Strong Organizational, time-management and problem solving skills
  • Flexibility to adapt to changing work demands
  • Good interpersonal and communication skills, both verbal and written
  • Ability to prioritize, multi task and meet urgent deadlines
  • Ability to work both independently and in a collaborative team environment
  • Ability for prolonged sitting using telephone and computer
  • Bilingual verbal and written communication skills are an asset
