Our client is hiring for an experienced Executive Administrative Assistant to join their Milton team! Our client is ahigh-end luxury Real Estate brokerage, with a focus on luxury and distinctive residential properties and providing an amazing customer experience. Salary: $45,000 – $55,000 / year Additional compensation may be applicable as well. Hours of Work: 9:00am to 5:00pm, Monday to Friday (40 hours per week). Some light follow-up on weekends may be required. Travel: Minimum travel within the area may be required on occasion. Responsibilities This position is a highly functioning multitasking role with responsibility in all areas from listing to closing, marketing, and administration. Oversee all aspects of the sellers transactions from initial contact to executed purchase agreement to closing. Prepare all listing materials: pre-listing presentation, Listing Agreement, sellers’ disclosures, comparative market analysis, pull online property profile, research old multiple listing service (MLS) listings, etc. Consult and coordinate with sellers on property photos, staging, repairs, cleaning, signage, lockbox, access requirements and marketing activities. Regularly update and proactively communicate with all parties, including sellers, clients, agents, title officer, lender, etc. Coordinate all public open houses and broker open houses, as well as client and vendor appreciation events. Input all necessary information into MLS, marketing / agent websites, client databases and transaction management systems, as well as updating of blog and social media channels. Coordinate title / escrow, mortgage loan and appraisal processes. Coordinate inspections, assist in negotiations regarding repairs, and completion of repairs. Coordinate the preparation of all listing, open houses, and general marketing flyers, graphics, signage and all other marketing materials, including video. Track and coordinate all inbound leads from websites, social media and other online sources. Manage all agent financial systems, creation of business operations manual, as well as involvement in future administrative hires and training. Provide superior customer service and follow-up with excellent phone and in-person mannerisms and professionalism. Requirements Minimum of 2-4 years of both Real Estate and Administrative experience required. Familiarity with MLS systems, including TREB & OMDREB, is required. Must be driven, focused and able to succeed in a very fast paced environment. Ability to multitask with a high level of organization and attention to detail. Excellent data entry and computer skills are essential. Professionalism and respect of confidentiality is essential. Experience using a MAC Operating System is an asset. Knowledge of web forms is an asset. Experience using Google Suite products (Mail, Calendar, Drive) and Microsoft Office products is an asset.
