More information can be found athttps://www.lafarge.ca/en/careers.Reporting to the Regional Director, Construction, the Proposal Coordinator will join a successful, collaborative team and be responsible for coordinating, writing, and editing, multi-volume technical proposals to win new business. Using superior writing and communication skills, you will translate technical information, resumes, and the company’s project experience into readable, concise, and professionally formatted documents.To perform this role successfully, you will be responsible for the following:Demonstrating a commitment to a safe work environment. Understanding the safety objectives of the organization and supporting these efforts in a visible manner.Maintaining a working knowledge of safety policies and regulations to ensure duties of self and others are performed in a safe manner.Monitoring MERX, APC, BC Bid, etc., and numerous municipal and other government sites for new project opportunities, and for monitoring of client plans and activities (e.g. budget reports, capital planning reports and similar).Understanding the submission requirements and necessary scheduling for each project pursuit under the direction of the assigned proposal manager in each case.Preparing proposal templates to guide the writing team.Coordinating the development of text, fees, and other necessary materials from both internal staff and sub-consultants as applicable to each opportunity.Following up with contributors to keep production on schedule.Assembling text submissions, graphics etc. and providing editing suggestions for grammar and readability, and responsiveness to stated client interests.Maintaining checklists of mandatory forms, signatures and approvals, and tracking the progress of completion.Maintaining an overall calendar of all proposal activities and assigned staff input to assist in decisions to pursue additional work.Preparing periodic report of proposal activity status for the management team.Assisting staff in the preparation of resumes, Project Information Sheets (PISs) and other proposal attachments and related materials.Taking responsibility for draft and final assembly and delivery of submission documents including formatting, spelling/grammar checking, copying, binding and transportation. Monitoring proposal outcomes, coordinating debriefings or other follow-up with clients and/or sub-consultants and internal proposal team members as applicable. Reviewing client request documents (RFQ, RFP, RFI) to determine submission requirements.Preparing document templates and outlines reflecting the client’s requirements.Working with Technical Subject Matter Experts to plan and assemble content.Working with Graphics Designers to create visual representations of technical ideas.Writing and editing resumes and technical solution narrative documents.Editing and refining technical sections for readability and clarity.Formatting large, complex documents (in MS Word and/or Adobe InDesign).Verifying compliance of response documents to client requirements.Coordinating on-time production and delivery.Coordinating financial documents and forms for production.Follow close-out processes, including documenting lessons learned.Education:Advanced degree in a relevant field (English, History, Journalism, Marketing, Engineering, etc.)Required Experience:Three (3) to Five (5)+ years of professional writing, proposal coordination and/or other relevant experience in an engineering or construction setting.Power-user of Microsoft Word.An equivalent blend of experience and education may be considered.Required Skill Set:Advanced communication skills in large groups, including with partner companies and a broad range of professionals at all levels of the organization. Advanced listening skills with demonstrated ability to accurately summarize information from meetings, interviews, and technical documentation.
