This includes looking after production and inventory tracking, and performing accounts payable and payroll tasks for the operation, as well as other general administrative support deemed necessary by the Operations Manager. The ideal candidate must be self-motivated, willing to work with all personalities, have exceptional communication skills, and have excellent time management ability.Reception/ General Administration:Greeting customers.Answering and directing calls.Order office supplies.Organize incoming and outgoing mail.Create and maintain tracking spreadsheets.Other administrative duties as required.Production/Inventory Management:Maintain accurate inventory reporting and tracking.Entering daily production and receiving of raw materials.Lead monthly and annual physical inventory counts.Analyze results of physical counts to identify opportunities and concerns.Ensure product inventories are managed (and reflected in reporting) so the material and inventory data is up to date and reconciled in all reports and systems.Provide production and inventory reports for management and finance team.Accounts Payable:Review all invoices and receipts for appropriate documentation and approval prior to payment Ensure timely processing of all vendor invoices Verify accuracy of vendor accounts and review / correct any discrepancies Respond to all vendor requests related to payment in a timely manner Organize and maintain all documentation, both paper and electronic, related to vendors Set up vendor in the SAP Create requisitions within SAP Follow up on existing PO’s with Procurement team Process month-end closing entries Provide support, ad hoc reports, and complete various tasks as requested by management Effectively communicate with operation level to ensure expenses are charged to the appropriate cost centers Payroll:Responsible for full cycle bi-weekly payroll for hourly employeesSubmit, approve and transfer all payroll into Time and Attendance System (Build2Win & CATS) dailySubmission and update changes of employee payroll related formsResearch and resolve routine employee pay cheque related questionsPrepare and distribute emails and memos that keep employees up to date with any changes regarding payroll or benefits.Ensure compliance with internal control procedures – communicating problems in operations, unwarranted deviations from established standards, and violations of policy or lawEducation: Accounting/Payroll Diploma or Degree an assetExperience and Skill Set:2 years of experience in an administrative position.
