Our client is a leading Canadian Bank. Supporting three lawyers and working with one other Legal Assistant on the floor.
Contract Length: 2 Months (possibility of extension or permanent role for the right candidate)
LOB: Legal, Corporate and Compliance Group
Hours: 9:00-5:00pm or 8:30am-4:30pm (Monday to Friday)
Pay rate: $24.35/hr
Daily Responsibilities
•       Opening legal (mainly litigations // supporting personal and commercial banking // employee relation and customer issues, and fraud)
•       Manages and monitors calendar of appointments, upcoming events and facilitates prioritized responses to matters requiring immediate attention where appropriate. Coordinates agendas, and dispatches meeting invitations and agendas, books meeting rooms and arranges for IT resources and other requirements in support of smooth and efficient meeting facilitation. Obtains briefing materials for meetings and events from the appropriate sources.
•       Manage in strict confidence, legal documentation, correspondence in accordance with established priorities and deadlines on a timely, accurate and efficient basis
•       Build productive relationships within the line of business (LOB) and other functions through responsiveness and support.
•       Respond to internal & external inquiries concerning corporate information, legal agreements and certain legal issues, including monitoring renewals and action dates.
•       Manage in strict confidence, legal documentation, correspondence in accordance with established priorities and deadlines on a timely, accurate and efficient basis
•       Provide advice to internal business partners and peers to support the completion of a process or activity within established procedures,
•       Coordinate management of legal spend, application of appropriate e-billing system and correspond with offsite counsel
•       Maintains project files and keep all matters updated and current.
•       Establishes and maintains filing systems; classifies, sorts, and files correspondence, records, media clips and other documents.
•       Works independently to manage timing and action plans for completing department functions and preparing correspondence, reports and other documents ahead of need.
•       Handles complex travel arrangements (both domestic and international).
•       Accountable for meeting management including: printing confidential and sensitive information, creating agendas, transcribing notes and arranging meeting rooms.
Top 3 Must Haves:
•       Previous experience working in litigation
•       Excellent Communication Skills in both French and English (Oral and Written)
•       Strong attention to detail/accuracy
Experience/Knowledge and Skills:
•       4 years of legal administrative experience
•       Previous experience supporting multiple lawyers
•       Legal education
•       Litigation experience
•       Bilingual (English and French)
•       Attention to detail
•       Intermediate Microsoft Office (Word, Excel, Outlook)
•       Previous FI experience an asset
•       Knowledge of legal terminology
•       Knowledge of departmental systems and applications
