Job Description

The International Logistics Coordinator assists in coordinating all North American and international import and export shipments and documentation, while taking into consideration the company’s commitment to our seven Core Values such as Sustainability (people, the planet, and profit) in the planning and implementation of all actions related to your area of responsibility.

  • Prepare documents pertaining to North American and International export and import shipments
  • Arrange full trailer load (FTL) requirements, trailer arrival and pickup for inter-facility trips
  • Arrange for appropriate service trailers (standard, special temperature, etc.)
  • Review export and import products and their pertinent documentation
  • Liaise with preferred trucking company and brokers
  • Provide North American Free Trade Agreement (NAFTA) certificate and Food and Drug Administration (FDA) coding to our United States (U.S.) Customs Broker and update them on new products
  • Coordinate with documentation department for permits, including health certificates, required for cross border and international shipments
  • Maintain cross border and international permits
  • Update, maintain and enter Harmonized Commodity Description and Coding (HS) tariff classification and FDA coding in Syspro
  • Communicate with Planning, Procurement, Supply Chain and Monroe Receiving departments on cross border concerns
  • Prepare and complete sales orders and invoicing between companies
  • Prepare, review and submit Standard Operating Procedures (SOP) and Work Procedures (WP) in standard format to Manager, International Freight
  • Maintain and organize all relevant export and import documents, including shipment invoices, for reference
  • Maintain FDA facility registration numbers from Manufacturers of raw materials through coordination with Procurement department
  • Track customs, FDA shipment releases and shipments on-line
  • Provide status updates on arrivals and departures to Procurement, Planning and Warehouse departments
  • Collect data for department Key Performance Indicators (KPIs) and submit monthly report to Manager, International Freight
  • Prepare, communicate, coordinate export and import courier requests
  • Attend departmental and interdepartmental meetings as required
  • Organize pick up schedules with nominated freight forwarder. Provide export permits and ensure export shipping documents are in order.
  • Coordinate and prepare all courier samples and return shipments, including non-document courier items
  • Arrange and monitor equipment shipments including pickup, return and Temporary Import Bonds
  • Arrange returns to suppliers in U.S. from Procurement and Maintenance departments
  • Obtain freight quotations for upcoming shipments
  • Prepare B13 forms for export shipments that meet the criteria
  • Prepare documentation for duty draw back
  • Cross-train with new team members
  • Follow and adhere to all given instructions including work procedures, Standard Operating Procedures (SOPs) and current Good Manufacturing Practices (cGMP)
  • Strictly adhere to and observe all safety policies as outlined in the company policies and training sessions
  • Other duties as assigned

Requirements :


  • Bachelor’s Degree in Business Administration or related discipline along with a minimum of two years’ experience in International Freight/Logistics or an equivalent combination of education and experience
  • Current with Free Trade Agreements (FTAs) and 2010 Incoterm
  • Working knowledgeable of Syspro or other ERP system
  • Proficient in MS Excel, Word, Outlook
  • Proficient written and oral communication in English
  • CIFFA Certificate and knowledge of HS Tariff Classification would all be considered assets
