This role includes: Responsible for daily operations including updating weekly and daily meetings Leverage asana to manage all tasks and deliverables Reviewing and printing weekly/daily schedule with the game plan each morning Organizing contacts and imputing data into a CRM SYSTEM Managing different contractors/vendors lists, databases and researching new prospects Preparing background notes for calls and meetings Juggle changing priorities such as calendar appointments and travel emergencies, and tasks based on priorities of the CEO Keep the CEO’s communication flowing, by recognizing the importance of key matters and bringing them to their attention while handling the small things effortlessly and effectively Managing the CEO’s time and schedule to maximize results and performance Managing social media accounts using social media management platforms and responding promptly through these channels including managing DMs. Planning corporate events to take place outside of the workplace, such as golf tournaments, fund-raising events, and staff appreciation events, client events, seminars, etc. Creating templates of correspondence and event materials Paying invoices accordingly and keep track of partnership payments and communicate with VP sponsorships Requirements Qualifications: Diploma or Degree in Business Administration, Marketing, Human Resources, a similar or related field of study or equivalent experience; Administration designation Marketing and sales experience for media-based companies is an asset 3+ years experience in a faced paced administrative support Ability to multi-task and demonstrate good time management, scheduling, and organizational skills Superior communication skills including excellence in verbal presentation, written correspondence, and report writing Must be detail-oriented and accurate with the ability to meet multiple deadlines Customer service experience is a must Experience using Asana, Trello, or other project management software – project management Our Dream Teammate will be: A Proactive Problem Solver Highly self-motivated Enthusiastic and positive Skilled communicator MASSIVELY Organized Independent thinker Comfortable speaking, texting, emailing with all strategic partners A Self-Starter Full of Love, Compassion, and Empathy…yet Bold Always learning and coachable You report directly to Anna Sinclair Compensation: $40,000 CAD base salary with bonus opportunities for driving overall growth and exceeding expectations. Please note:The successful candidate must have a drivers license, valid passport, and ability to travel. 40 hours a week Monday through Friday. Flexibility in scheduling is necessary as there may be the occasional requirement to attend to functions outside of normal work hours, adjust work hours, respond to urgent matters, and/or to work additional hours as needed. Anna Lives and operates most of the time from Collingwood, Ontario. The job will be a mix of remote and in-office hours but primarily remote to start. Daily communication is key.
