Our client is seeking an Executive Assistant to join their company. They are a privately-owned Canadian Pharmaceutical company that is set up to grow, process, market and sell industrial hemp products across the international marketplace (Europe and North America). As an EA you will provide support and administrative duties to the CEO & Chairman. You need to be well organized, and complete tasks in a timely and efficient manner.You will work on a variety of projects that require strong multi-tasking and communication skills in a chaotic and ever-changing environment and be accountable in owning your work.The EA must demonstrate a high level of ethics, tact, and diplomacy at all times. This role is unique as it is privy to sensitive and confidential information, and may act as the Executive Leadership Teams confidante. Responsibilities: Project coordination on the many projects for the leadership team Maintain electronic tracking of files, emails, contracts and project documents Provide logistical support for meetings and schedules Calendar management and scheduling Prepare the executive for events, meetings and stakeholder engagements Attend executive meetings and document minutes Book travel arrangements for the executive leadership team Track contracts, documents and following up on schedules. Retain knowledge of industry related current events, company growth and day to day operations Reading and analyzing submissions, letters, agendas, memos and determining significance; routing to appropriate personnel in a timely and efficient manner Working effectively under pressure on tasks assigned by management while handling heavy volumes and meeting demanding deadlines Events management (preparation and execution of client appreciation events) CRM management managing all client lists and technical support with software as it pertains to the executive team Compliance support (contracting, licensing and related renewals) Represents the executive by attending meetings in the executive’s absence; providing statements when requested by the company Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies Accounts payable and receivable support (processing bills payable, credit cards spreadsheet tracking, financial year end co-ordination, invoicing) On call as required Requirements Education or coursework in administration, business, or related field desired Minimum 5 years experience as an Executive Assistant supporting senior leadership and reporting to the executive leadership team Exceptionally competent with technology Excellent critical thinking and analytical skills Highly diplomatic with tact and professional ethics Well developed communication skills, both verbal and written Exceptional project management skills Demonstrated organizational skills Strong time management and project skills Ability to work with limited supervision in a multi-tasking environment Skills to juggle conflicting priorities and manage workload independently Running errands as required As an Executive Assistant you will be primarily engaged in acting as the first point of contact for matters pertaining to senior management and the executive team.
