4Sight Search Solutions is currently recruiting an Executive Administrative Assistant for an upscale studio in Mississauga. Their expertise is creating unique one-of-a-kind paintings for families, including many high profile clients. This outstanding opportunity is perfect for a responsible, organized, detail oriented and proactive Executive Assistant or Administrative Assistant, who maintains a high level of professionalism in an artistic, fun and rewarding environment. Requirements This position is a highly functioning multitasking role with responsibility in multiple areas including significant client interaction and assisting with marketing as well as invoicing, etc as required.The responsibilities include: A front facing point of contact for clients. As the voice of the company, there will be days of extensive phone interactions. Communication is very important. Regular email communication with clients. Managing the database, booking clients and maintaining the calendar. There is a creative opportunity as this role will be assisting the marketing team, as required. Invoicing with experience utilizing Quickbooks being an asset. Some office maintenance / management. This could include calling for repair, tidying & changing light bulbs, etc. Can You Check These Boxes? Minimum of 2-4 years in an administrative / executive office role. Outstanding written & spoken English is an absolute. Ability to develop rapport rapidly. A good sense of humour is an asset. Strong, confident, and full of life, which comes across in your conversations, especially over the phone. The maturity and understanding to connect with a sophisticated clientele. 5 star service always. Being able to read people with a knack for sales is a strong asset. Able to multitask with a high level of organization & attention to detail. (tip – secret code is 47) While it can be a laid back environment, there are deadlines. You must be able to turn it up and roll with it. Things can get intense. Excellent data entry and computer skills are essential. Professionalism and respect of confidentiality is essential. Experience using internet based programs and google products is an asset. Benefits Hours of Work: 8:00am – 6:30pm, Monday to Thursday (4 days with 40 hours a week) Some light follow-up outside of these hours may be required.
