Contract Billing Coordinator

DECCA has a need to add a motivated Contract Billing Coordinator, in the Medicine Hat area, who would preferably have an oil and gas accounting background, with knowledge of drilling/completion field operations. Previous work experience for an oil and gas staffing firm would be considered a premium asset. Ensuring high levels of client service and operational standards while always upholding the organizational culture.

Duties and Responsibilities:

AR Processing

Processing Vendor Invoice in QuickBooks
Processing customer invoices in QuickBooks
Submit invoice to customer for payment via Fieldglass, ADP, Actian, Cortex, Pandell, etc.

HSE Tracker

Create safety ticket profile for new workers
Manage and update active workers safety tickets
Deactivate profile for non-active workers

Office Supply Coordination

Track and order supplies for office through various suppliers
Review expense invoices
Request for approval and processing of Vendor invoices for payment

Onboarding Workers (Welcome Letters, ICA’s etc)

Send Welcome E-mail to all new workers
Enter new workers start date and day rates in required reports
Collect and upload new workers information into necessary files (ICA, Work Order, Drivers License, WCB, Safety Tickets)
Set up new worker in Customers VMS System

Drug Screening

Set up drug testing appointments for new worker
Ensure that drug testing requirements meet each individual customer requirement

Payment Inquiries
Yearly / Monthly Payment Remittances

Fielding Customer Inquiries

Invoice Coding issues
Rejected Invoices
Banking Information
Workers Safety Certificates
Workers On-boarding requirements

AR Collection

Reach out to customer for payment status and payment remittance
Provide Treasury with payment remittances
Monthly / Weekly Reporting – complete weekly and monthly reporting for new hires, margin variances and rates.
Customer Reporting – complete and submit monthly report to customer which includes days worked and customer coding.

Printing Cheques

Print weekly vendor cheques from QuickBooks
E-mail treasury a copy of the cheque registry
Enter all cheque information in Mail Log
Mail cheques to vendor
Order new cheques when required

Vendor Set Up

Collect new Workers information (address, phone, number etc.)
Request corporate to set up Vendor Profile and Payment Terms in QuickBooks
Collect workers banking information and set up for Direct Deposit

Customer Set Up

Create New Customer profile in QuickBooks (address, phone number, payment terms)
Set up new customer in required VMS system (Fieldglass, Cortex, OpenInvoice etc.)

Tenant Rent Invoices – Create and distribute tenant rent cheques.
