The Administrative Coordinator is a primary support role to the General Manager but includes general office administrative responsibilities that maximises the overall experience with customers. Duties and Responsibilities Ensure spending and travel policies are obeyed, review expense reports for final approval by the GM and coordinate payment. Manage attendance and vacation schedules. Assist with composing and/or editing various documents and presentations including highly confidential correspondence. Coordinate and manage calendars, meetings and functions, including booking rooms or venues and ordering catering. Manage invoicing process, and accounts receivable activities including EFT process. Year-end document preparation and audit activities. Maintain up-to-date filing systems and records. Maintain Policy and Standard Operating Procedures. Manage and maintain onboarding process for new team members. Initiate and execute base marketing communication activities including social media postings as directed by Marketing. Requirements Education University or college degree is preferred or equivalent medical administration experience. Work Experience 3+ years experience in a senior administrative role. Diagnostic imaging/laboratory equipment experience would be an asset. Must have performed some accounting functions in the past. Experience working in a small teamoriented, and collaborative environment. Board secretary experience/knowledge would be an asset. Skills and Competencies Excellent verbal and written communications skills and effective interpersonal skills. Demonstrated business professionalism, respect for confidentiality and appropriate handling of sensitive information. A very high level of attention to detail, accuracy, and follow-up with the proven ability to multitask and prioritise projects within a rapidly dynamic work environment. Ability to solve practical problems and deal with a variety of variables in challenging situations. Proven ability to work effectively under pressure in a fast-paced environment. Ability to write reports, business correspondence, and policies/procedures. Ability to effectively present information and respond to questions from individuals or groups. Proven advanced technical competence with MS Office (Word, PowerPoint, Excel, Outlook). Benefits 6-month contract position with an opportunity to extend or potentially become full-time. Annual base salary. 4% vacation pay (no paid vacation time off). 1-2 days in the office, 3-4 days remote until a “return to office” date isannounced.
