We are looking for an Administrative Assistant to provide secretarial and administrative support to the Executive Director of Ethics and Diversity Services by coordinating department workflow, scheduling meetings and ensuring inquiries are organized, completed and addressed. We need your help to expand the ability to deliver prompt and professional service. Your enthusiasm will assist you when connecting with external and internal clients as the primary point of contact for your Director and Managers.

In this dynamic role you will provide support the Executive Director / designated team of Ethics and Diversity Services. Your excellent project management skills as well as your strong experience in providing administrative support in a high performance environment make you an ideal candidate for this role.

Your specific duties will include:

    •Providing a variety, from basic to complex, administrative support •Drafting routine and non-routine correspondence and transcribing and typing correspondence, reports, presentations, and memoranda. •Coordinating the work flow within the assigned area. Receives, reviews, prioritizes and processes confidential and sensitive information of varying complexity. Follows-up with Executive Director, Department Heads, and others in the organization to obtain information. •Managing the Executive Director’s calendar and provides scheduling support to the Ethics and Diversity. •Supporting the Clinical Ethics Consultation Service by receiving and prioritizing consultation requests and managing the database. •Supporting the Senior Leader, Clinical Ethicist and Ethicist, Education and Research with the systematic evaluation and analysis of the clinical ethics consultation service. •Supporting the Ethicist, Education and Research by receiving and prioritizing education requests, managing the database and coordinating meetings as appropriate. •Supporting the Leader, Diversity Services with translation services for the region; receive and coordinates requests for translation services and works with the Patient Education Department to ensure pre-established translation guidelines/standards are followed. Works with translators to ensure results meet standards in efficiency and quality; liaises between translator/request or/Patient Education to ensure accuracy; maintains current listing of translator contact information. •Supports the department in coordinating strategic planning initiatives, developing meeting strategies, managing documentation and providing logistical support. •Managing appointment calendars including scheduling and coordinating meetings, speaking engagements, and/or conferences. Resolving scheduling conflicts and issues. •Develops and implements new work methods and procedures. Identifies problems, develops alternate solutions, and implements changes. •Assisting in the monitoring of expenditures for budget reports by capturing, compiling, and calculating information. •Performs record management duties maintaining filing systems and databases.

You will take a thorough, hands-on approach to deliver high quality and precise work. A focused approach is needed to complete routine day to day tasks and handle changing calendars, priorities, and timelines. You will carry a high level of integrity, discretion, and confidentiality.


    •Graduated from a recognized administrative or secretarial program. •Three years’ recent related experience in a large complex business environment or health care environment. •You type 55wpm and are proficient with Microsoft Office applications at an intermediate level. •Project Coordination experience is an asset.

An equivalent combination of education, training and experience is acceptable.
