Medical Office Assistant
The Sunnybrook Department of Medicine Association Division of Geriatric Medicine is currently recruiting an experienced full time Medical Office Assistant to work at the Sunnybrook Health Sciences Centre Campus. The role encompasses aspects of clinical and research administration and education support.
The successful applicant will be a team player with the ability to work independently. Our office currently employs a lead office assistant who will work closely with the successful applicant to accomplish the following tasks:
The successful applicant will be responsible for assisting all aspects of the daily functioning of a busy clinical office for 4 physicians.
scheduling of outpatient clinics,
reminder telephone calls to patients,
managing electronic medical records,
responding to telephone inquiries/referrals and other medical related administrative duties as assigned.
on-medical administrative duties such as coordinating meetings, managing physicians’ calendars
In addition the successful applicant will provide administrative support to research assistants.
Arranging access to Sunnycare, ID badges etc for new research coordinators and fulfilling research related chart requests
Managing and coordinating of research accounts
Managing limited communications between the department and REB
Creating and maintaining monthly student and staff call schedules, as well as monthly student teaching and outpatient clinic teaching schedules.
Coordinating clinical observerships, preparing applications, submitting documentation to medical education and recording activities in a database.
Liaising with the University of Toronto, Division of Geriatrics coordinator with respect to rotating students and elective schedules.
Assisting with the organizing of the Division teaching rounds and events (schedules, and catering where applicable).
Updating physician CV’s
Maintaining clean teaching rooms with proper equipment, supplies, etc.
Maintaining Division internal/external websites and update bulletin boards.
With the above, always maintaining ongoing positive professional communication with staff (doctors, fellows, residents, students, co-workers and research staff
Excellent organizational, time-management, and multi-tasking abilities
Flexibility and adaptability with strong problem-solving skills
Attention to detail
Ability to work and learn independently
Strong work ethic
Ability to work as a team player
Ability to effectively use computer programs at an advanced level (e.g., Outlook, MS Word, MS Excel)
Ability to learn and adapt to relevant new software programs (e.g. hospital-based programs and web-based databases)
Knowledge of maintaining basic office and computer equipment (i.e. troubleshoot issues).
University undergraduate degree
Strong communication and interpersonal skills (verbal and written) are required for daily interactions with students, residents, fellows, medical and scientific staff, nursing personnel, and other support staff within and outside of the hospital.
