Position Description
Job Summary
The HR/Legal Administrative Assistant provides administrative support to both Human Resources and Legal. The position serves as the main point of contact for new hire onboarding as well as providing general legal administrative support.
Responsibilities include but are not limited to:
HR Support
General administrative support for all activities related to recruitment including drafting and coordination of approvals and postings within the Applicant Tracking System (PeopleFluent)
Resume screening, scheduling interviews and preparation of interview guides for hiring managers.
Work with vendors on pre-employment screening and testing.
Coordinating offers of employment
and new hire documentation
Assists with the coordination of on-boarding activities for new employees
Ensures data entry for all new hires and employee promotions, transfers and terminations is accurate and up to date.
Respond to requests for information or assistance from the internal team.
HR metrics and reporting as required.
Legal Support
General administrative support including reporting, process and filing documents, copying, arranging mail and courier service as required.
Coordinates calendars and schedules, setting up meetings and/or conference calls.
Provide admin support to company lawyers and senior members of the management team.
Maintain legal filing system.
Assist with Commercial agreement preparation, editing and review.
Assist with simple contract amendments/revisions for a variety of commercial contracts.
Coordinate meetings, travel and presentation materials.
Maintain spreadsheets on legal expenses and code invoices for payment.
Position Requirements
Minimum 3 yrs industry experience within HR and/or Legal, preferably with a federally regulated company.
Degree, certification, diploma, license in Human Resources, Law, Business or related field is preferred.
Past experience preparing legal documentation is required
Excellent PC skills including Word, Excel, Power Point and Outlook. Experience with Lawson a plus.
Requires strong verbal and written communication skills as well as proven interpersonal skills.
Must be able to work with limited supervision and use individual initiative.
Maintenance of confidential information is critical.
Excellent organisational skills and ability to prioritise workload effectively.
