We currently have an opportunity for a Regular Full Time Executive Academic Assistant with the Medical Imaging department located at the Bayview Campus.
Summary of Duties
Reporting to the Chief of Medical Imaging, provides comprehensive administrative support to the Chief and support services to staff radiologists as well as departmental residents and fellows as directed.
Provides research assistance for strategic programs, including preparation and monitoring of research budgets, coordinating research ethics approval and preparation of grant application paperwork as directed;
Prepares a wide variety of administrative and academic program reports, including powerpoint presentations, data summaries and spreadsheets as directed;
Provides comprehensive administrative support to the Chief, Medical Imaging;
Maintains the Chief’s calendar, correspondence, answers calls, requests for information, sets up meetings (includes coordinating all related logistics);
Prepare, update and maintain a wide variety of departmental schedules and other departmental lists / information as directed. Manages the radiologist scheduling software. Posts schedules as directed;
Provides support to Sunnybrook Medical Imaging staff radiologists, fellows and residents as directed including event planning, meeting logistics, organizing required materials, taking/circulating minutes and other duties as required;
Assists with the credentialing & re-appointment process for radiologists as directed;
Establishes, monitors, and provides administrative support to department projects as directed;
Other duties as assigned.
Completion of a BSc or equivalent science qualification, or evidence of health science related experience required. Also completion of a relevant post-secondary Executive Assistant/Office Management Program and/or equivalent appropriate work experience required.
Significant recent related experience in an administrative or executive assistant supporting a senior executive (ideally in healthcare) is preferred.
Demonstrated familiarity with and experience writing a variety of research related documents, including grant applications and research budgets required.
Demonstrated advanced working knowledge of Microsoft Access, Word, Excel, Outlook and Power Point required.
Demonstrated excellent written and oral communication skills and experience taking meeting minutes required.
Demonstrated tact, discretion and good judgment in dealing with extremely sensitive and confidential issues required.
Superior time management, organizational skills, accuracy and attention to detail.
Demonstrated independence and comfort in taking initiative on resolving issues within scope of responsibility.
