We are looking for a Document Control Administrative Assistant to join our Engineering Data Management Team in January 2019. As a member of this team, you will be responsible for providing Document Control services to both onsite and offsite users within the Manufacturing East (ME) Region.Responsibilities: Audit, track and issue construction work packages (CWPs)Create / modify equipment files in SmartPlant Foundation (SPF) and the Engineering LibraryAudit and process documents submitted to SPF workflowsSupport Capital Projects; including creation of Engineering Data Management (EDM) PlansAudit projects to verify that engineering data turnover is complete; work with project teams and contractors to resolve deficiencies, process closed project files, send to offsite storagePerform audits for newly created documents and tags in SPFMonitor the ME Document Control mailbox and resolve / implement user requestsRetrieve documents from offsite storage based on users’ requestsTrack and issue change management documents within the Engineering department for Expense work; process and file all documentation when work is completeTransmit documents to other departments and companies as requiredBackup document control colleagues as neededProvide training, mentoring, and assistance to both new hires and current employees as well as other companies with regards to SPF and NOVA Standards and ProceduresDistribute and / or file drawing updates (piping isometrics, loop drawings, etc.)Perform specialized document searches / Research historical dataSupport / assist with company events such as Take Your Kids to Work Day or United Way campaignsQualifications: Minimum Grade 12 education plus 4 – 5 years combination of applicable post-secondary education and related experienceProficiency with computer programs (MS suites)Experience in engineering records and document control environmentExperience with SmartPlant Foundation, MicroStation, SAP, & SharePoint would be an assetStrong initiative and problem-solving skillsStrong attention to detail ensuring data integrity is a mustStrong, interpersonal skills, communication, planning and organizational skillsAbility to deliver results within a team environment, and individually, with minimal supervisionAccommodations for job applicants with disabilities are available on request.About Us:NOVA Chemicals develops and manufactures chemicals and plastic resins that make everyday life safer, healthier and easier.
