YOUR KEY RESPONSIBILITIES
The sales administrative assistant will be a support for three managers: Sales Manager for Distributors, RCM Italy, Spain and UK and MPS Manager. Ensuring administrative support on sales responsibilities:
Operate independently and pro-actively to resolve routine or day-to-day requests from assigned markets
Provide support by managing the incoming mail, phone calls, and directing requests to the appropriate people in the assigned markets for resolution or feedback
Provide administrative support to the management team of assigned markets by doing the pre-accounting of all incoming invoices, tracking the company cars, handle requests of authorities and record management. Keep track of all upcoming costs, invoices and possible savings for all related cost centers
Being part of the budget process, keep track of all upcoming costs, invoices and possible savings for all sales related cost centers
Assist and coordinate the practical organization of local events and other activities for assigned countries in the market
Distribute generic/blanket communication for assigned markets (dealers, clients, prospects): such as bulletins preparation for all countries (proof reading and distribution)
Support communication for all entities
Support managers with Travel expenses
Handle documents requiring signatures
Specific for Distributors
IO Management – distribute booking package, order entry to SAP
Communicate sales report/ target tracking report to distributors
Unit allocations and container optimization – beyond BTS
Collect data, summarize and create reports
Specific for MPS
Processing SAF (consignment units and IPCS)
Prepare communications to dealer network
Coordinate with the translation agency required agreements translation
Produce Dealer/ Distributor agreement reports
Update of the general customer master of SAP
Coordinate and organize travel arrangements for visitors, in line with established procedures, and coordinate the organization of occasional events for staff and participants
Evaluate office & administrative processes and pro-actively propose and subsequently implement improvements in collaboration with other team members
YOUR QUALIFICATIONS AND SKILLS
Experience of several years in commercial office environment.
Excellent communication skills : oral and written
Very good knowledge of English, Italian, Spanish and French
Excellent knowledge of Microsoft Office (Word, Excel, PowerPoint)
Pro-active and able to work well under pressure
Strong analytical skills
Irreproachable work ethic
Strong customer orientation
